Terms of Service
These terms describe the practical rules for using VeCost and managing subscriptions, modules, and company account access.

This page is provided to explain the current VeCost service in clear, practical terms. It may be updated as the service develops.
Operator and agreement
VeCost is currently developed and operated independently by its owner. These Terms describe the rules for accessing and using the VeCost service.
Nothing in these Terms limits rights that cannot legally be excluded under applicable law.
The VeCost service
VeCost is browser-based fleet management software for organizing vehicle records, expenses, services, refuelings, reminders, bookings, employees, role permissions, optional on-site fuel tank tracking, optional inventory and parts tracking, and reports.
Accounts and customer responsibility
Customers are responsible for the information they enter into VeCost, the accuracy and completeness of their records, and the lawful processing of employee, customer, business, and fleet information they provide.
Customers are also responsible for assigning appropriate employee access, protecting login credentials, and making their own operational decisions. VeCost is not responsible for problems caused by inaccurate, incomplete, or unlawfully provided customer-entered data.
Subscriptions, plans, and modules
VeCost offers a Free plan and paid base plans. Optional On-site Fuel Tank and Inventory & Parts modules can be added where supported. Additional employee login packages are available for eligible PRO plans.
Access to paid features, modules, employee logins, and plan capacity depends on the selected plan, active subscription or trial status, and applicable payment terms.
Trial eligibility
Trial availability applies to eligible new accounts and is based on the registration window. Choosing a paid plan later does not necessarily create a new trial.
Billing through Lemon Squeezy
Checkout, payment, tax, and subscription payment processing are handled through Lemon Squeezy. Lemon Squeezy's payment, subscription, and refund terms may also apply to purchases made through its checkout.
Cancellation and downgrade
Cancelling stops future renewal. Access to paid features may continue until the end of the current paid or trial period where applicable.
When paid access ends, the account may move to the Free plan and features, modules, employee logins, or resources above Free-plan limits may become unavailable until the account is within the applicable limits or paid access is restored.
Changing or downgrading a plan may restrict access to certain features or active resources, but does not by itself necessarily delete historical records.
Refunds
Refund requests are handled in accordance with applicable law, Lemon Squeezy's payment/refund terms, and any VeCost refund policy in effect at the time of purchase. Nothing in these Terms limits rights that cannot legally be excluded.
Operational reminders and compliance
Customers remain responsible for monitoring and meeting legal, regulatory, maintenance, insurance, registration, tax, and operational obligations. VeCost reminders and reports are management aids and should not be relied upon as the sole source for compliance decisions.
Reports and financial summaries
VeCost reports and financial summaries are operational tools and do not constitute accounting, tax, legal, or financial advice. Customers should verify important financial, accounting, and operational figures independently where necessary.
Customer data and copies
Customers retain their rights in the data they submit to VeCost. Customers grant VeCost permission to process that data as needed to provide, secure, support, and administer the service.
Customers should maintain copies or exports of business-critical information where appropriate. VeCost cannot guarantee that data loss will never occur.
Acceptable use
- Do not use VeCost to violate law, infringe rights, interfere with the service, attempt unauthorized access, perform malicious activity, or upload information you are not allowed to process.
- Keep login credentials confidential and notify VeCost if you believe account access has been compromised.
Availability and warranty
To the extent permitted by applicable law, VeCost is provided on an as available basis. While reasonable efforts are made to maintain the service, uninterrupted or error-free operation is not guaranteed.
Nothing in these Terms excludes warranties or rights that cannot legally be excluded.
Service and terms changes
VeCost may update features, plans, modules, pricing, or these Terms for operational, security, legal, or product-development reasons. Material changes affecting existing paid subscriptions will be communicated where required by applicable law.
Intellectual property
The VeCost software, website, branding, interface, documentation, and related materials belong to VeCost or its licensors. Customer-entered business data remains customer data and is not treated as VeCost software intellectual property.
Suspension and termination
VeCost may suspend or terminate access for non-payment, misuse, security risk, legal requirements, or material violation of these Terms. Where practical, reasonable steps will be taken to notify the customer or allow the issue to be resolved, but immediate action may be necessary for security, legal, or service-protection reasons.
Limitation of liability
To the maximum extent permitted by applicable law, VeCost and its operator will not be liable for indirect, incidental, special, consequential, or similar losses arising from use of or inability to use the service, including business interruption, loss of profits, loss of goodwill, or losses resulting from inaccurate or incomplete customer-entered data.
Nothing in these Terms excludes or limits liability where exclusion or limitation is not permitted by applicable law.
Events outside reasonable control
VeCost is not responsible for delay or failure caused by events outside reasonable control, including internet or provider outages, infrastructure failures, government action, natural events, or other circumstances that cannot reasonably be prevented.
Severability
If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue to apply where legally possible.
Entire agreement
These Terms, together with any applicable plan, order, checkout, or subscription terms, form the agreement for use of the VeCost service, subject to mandatory rights and obligations under applicable law.
Legal matters
- Any governing law or court venue will be handled according to applicable law unless a later version of these Terms states a specific rule.
